Job Description

Program Coordinator--working for a charitable organization that supports children's educational needs

Position Summary

Crayons and Beyond, a nonprofit organization, exists to level the playing field in the classroom by ensuring that teachers can provide students in need with the tools to succeed in school. This is accomplished through distributing supplies and related items to teachers in the Resource Center (‘Store’), shipping, and delivery into schools.

The Online & Delivery Coordinator is responsible for the operation, support, and growth of the online ordering program, which includes online orders for pick up and delivery. This position oversees order management systems, fulfillment processes, inventory coordination, and leads the volunteer pick and pack team. The coordinator serves as the primary point of contact and customer service representative for teachers utilizing online for pickup and delivery distribution channels.

Evening and some weekend hours are required.

Essential Duties and Responsibilities

Support day-to-day operations of the online ordering platform including:

  • Open and maintain ordering events within Applebase software.
  • Monitor inventory and ordering capacity to ensure products are active and available (or deactivated as needed).
  • Ensure orders are processed accurately and in a timely manner.
  • Troubleshoot ordering issues and maintain system accuracy.

Order Fulfillment & Distribution

  • Coordinate preparation of supplies for pickup, shipping, and delivery.
  • Maintain working relationship with delivery vendor.
  • Print and organize orders for picking.
  • Stage completed orders for pickup and shipment.
  • Maintain organized picking/packing areas.
  • Work with Operations staff to ensure inventory availability for order picking.
  • Assist with picking and packing orders as needed.

Volunteer Supervision

  • Prepare and maintain warehouse work areas for volunteer picking/packing activities.
  • Provide training, instruction, and oversight to volunteers.
  • Monitor workload demands and proactively request volunteer support as program grows.
  • Supervise episodic volunteer groups assisting with order fulfillment and other projects, as needed.
  • Create strong and lasting relationships with volunteers, who are an extension of staff.

Customer Service

  • Serve as the primary contact for online ordering inquiries.
  • Respond to teacher questions regarding orders, pickups, and deliveries.
  • Resolve order issues and troubleshoot Applebase-related concerns.
  • Coordinate rescheduling of missed pickups and special-order requests with teachers.

Delivery & Logistics Coordination

  • Coordinate shipping and delivery schedules.
  • Work closely with Operations staff and delivery providers to ensure timely shipment of orders.
  • Organize pickup orders and communicate logistics clearly with teachers.
  • Monitor picking/packing timelines and workload to ensure things get completed in a timely fashion.

General Program Support

  • Provide support for sorting and organizing products from various sources, including an annual Push for Pencils supply drive and used book donations, to ready products for distribution.
  • Assist in compiling raw materials for the Crafts with Conviction program for transportation to partner facilities.
  • Support receiving/unloading/organizing completed Crafts with Conviction products from facility partners.

Organizational Support

  • Participate in Teacher Resource Center weeknights and Saturday coverage rotations.
  • Attend Crayons and Beyond events as assigned.
  • Provide general administrative support including answering phones and receiving donations.
  • Maintain regular and punctual attendance.
  • Perform other duties as assigned.

Requirements

  • Associate degree and/or 2–4 years of related experience.
  • Passion for Crayons’ mission and a belief that education is key to breaking the cycle of poverty.
  • Multi-tasks with ease and amidst changing priorities.
  • Strong organizational and time management skills.
  • Excellent customer service and communication skills.
  • Exhibits positivity and a curiosity for developing connections with people.
  • Ability to think ahead, anticipate challenges and solve problems.
  • Ability to work independently and collaboratively.
  • Strong attention to detail.
  • Proficiency with Microsoft Office.
  • Valid driver's license and ability to meet organizational insurance requirements.
  • Ability to lift up to 50 pounds.
  • Successful completion of background check and drug screening.
